In 1954, the Blood Bank of Delmarva was established in the Delmarva region as a private, not for profit agency to collect, test, and distribute blood products. Today, the Blood Bank of Delmarva is a division of New York Blood Center and is among the nation's premium providers of blood products and services and an integral part of the Delmarva community's health care system. As of October 2019, the Blood Bank of Delmarva employs approximately 175 full- and part-time employees. Schedule: Monday - Friday, 8:00am - 4:00pm

Responsibilities

The Scheduling Coordinator position is responsible for creating the Donor Services collections teams schedule for mobile and fixed sites, determining PTO approvals, managing leaves of absence, and coordinating all daily operational changes and needs.

  • Produces and monitors weekly schedules for all mobile and donor center operations, considering, but not limited to, organizational goals, territory, appropriate staffing level, appropriate work assignments, and adequate weekly hours.
  • Rapidly identifies operational problems; troubleshoots to correct the problem, work to prevent recurrences; and communicates to appropriate team members and managers to minimize the impact on operations and employees.
  • Documents and tracks collections team attendance and communicates with leadership.
  • Assist in the analysis of staffing patterns for effectiveness, efficiency, and adherence to budget.
  • Prepare and distribute correspondence to staff relating to work schedules, scheduling procedures, etc.
  • Maintain vacation calendar and review and determine employees’ PTO to ensure operations have sufficient resources and employees can maintain a work-life balance and utilize benefits.
  • Manage tracking leave of absence and late occurrences for team members and make changes to the collections schedule as needed, often with short notice.
  • Work with the Blood Center recruitment staff to communicate changes, problems, or issues to the Donor Services management team as appropriate.
  • Ensure accuracy and compliance with NYBC SOPs and Procedures; make applicable corrections and reports all deviances to the appropriate Manage/designee per NYBC SOP's.
  • Prepare various reports.
  • Attends conferences, seminars, as required.
  • Makes recommendations to improve business unit practices and processes.
  • Any related duties as assigned.

Qualifications

Education:

  • High School Diploma or equivalent is required. 

Related Experience: 

  • A minimum of 2 years of experience in an administrative support position, with a particular interest in scheduling function, staffing environment, production planning, database application or other related field.
  • Any combination of education, training and experience that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.
