The Hospital Services Manager position involves overseeing the management of staff, resources, and procedures essential for daily operations concerning processed blood products, encompassing labeling, storage, packaging, inventory control, and distribution. Additionally, it includes managing resources and processes associated with the transportation of samples and unprocessed blood products between locations. Collaboration with other departmental managers is crucial to ensure the smooth and efficient delivery of services and products to customers and patients. This position is considered “essential” during severe weather or emergency operation events.
 
  • Monitor and mentor team performances and provide constructive feedback.

  • Administer policies and procedures to ensure an efficient and profitable operation that conforms to specified regulations.

  • Partner with enterprise to manage the inventory and distribution to minimize loss.

  • Execute the enterprise-wide inventory action plan to minimize any potential shortage situations and ensure movement of product throughout the organization based on needs and product expiration data.

  • Assist with the development and implementation of systems to minimize outdating of blood products inventory.

  • Manages driver staff scheduling, delivery routes, and donor center pick-up routes.

  • Ensures timely responsiveness of orders submitted, proper handling of unprocessed products, finished goods, sample transport, deliveries, and pick-ups.

  • Efficiently manage vehicle performance and driver optimization while coordinating maintenance activities with appropriate department and vendors.

  • Work with collections and warehousing to ensure the delivery and replenishment of collections supplies at fixed sites.

  • Writing and answering problem reports in the Deviation Management System; working with QRA to establish corrective actions and preventative actions, as well as effectiveness checks on the solutions presented. 

  • Responsible for budget preparation and cost center management.

  • Act as a liaison between BBD management and its internal and external customers to provide quality service and maintain excellent customer relations and open lines of communication between departments.

  • Review corrective actions that will effectively change a process to determine if it is the best means of prevention.

  • Attend Quarterly Business Review Meetings to discuss how Hospital Services reacted to the needs of the customer during the previous quarter; review any issues that have occurred, how they were resolved and how they will be avoided in the future.

  • Monitors and improves daily operations by coordinating areas to minimize total costs and increase overall efficiency in serving hospitals and other divisions.

  • Support department forecasting and planning activities.

  • Develops a system of error prevention/reduction in product distribution through staff involvement and the setting up of a monitoring system to measure overall performance.

  • Ensures compliance with all policies, procedures, regulations, and guidelines.

  • Responsible for Standard Operating Procedure revision via eQMS (electronic Quality Management System) as well as new SOP creation and implementation.

  • Develop Performance Improvement Plans and facilitate disciplinary action as needed.  Conduct interviews and make final recommendations for hiring, terminating, promoting, and reassigning staff.

  • Prepare various reports.

  • Attends conferences, seminars, as required.

  • Makes recommendations to improve business unit practices and processes.

  • May perform tasks related to Supervisor – Hospital Services/Logistics.

  • Any related duties as assigned.

Qualifications

  • Bachelor’s Degree in Business Administration or related field or equivalent.
  • 5+ years of experience in Inventory or Distribution or in a Manufacturing or Healthcare setting.
  • Valid Driver’s License with an acceptable driving record.
  • Any combination of education, training and experience equivalent to the requirements listed above that has supplied the necessary knowledge, skills, and experience to perform the essential functions of the job.

Knowledge: 

  • Working knowledge of BECS systems.
  • Working knowledge of medical and laboratory terminologies as they apply to product inventory and hospital needs.
  • Knowledge of a variety of software applications (Microsoft Office Suite).

Skills & Abilities:

  • Ability to communicate clearly and with authority, both in writing and verbally, to others in one-on-one or small group settings.
  • Work independently with minimal supervision.
  • Ability to read and interpret hospital orders, standard operating procedures, system reports and queries. 
  • Strong attention to detail in all work processes.
  • Ability to work independently with minimal supervision.
  • Ability to interact with individuals at all levels of the organization and customers in a helpful, courteous, and friendly manner while demonstrating sensitivity to and respect for diverse populations.
